Exhibitors
If you need additional items for your booth or services such as freight handling, that can be arranged through Alaska Event Services.
Exhibitor booth packages include one to three conference passes (lunch, all sessions and online access) for 1-15 exhibitor staff members to work the booth. The in-person pass(s) can be shared among exhibitor staff allowing one staff member per pass to attend sessions or lunches at once. Exhibitor package prices are determined by the number of booth staff attending.

11-15 Booth Staff Members

Up to fifteen (15) exhibitor staff may work the booth. The included full conference passes are transferable among booth staff, allowing one person and pass at a time to attend sessions or events.
You may purchase extra full conference passes (includes sessions, lunches, and online access) at a discounted rate of $450 using the code EXHIBITORPASS during the In-Person Conference Registration process.
Exhibitor registration is first come, first serve until exhibitor booths are sold out. All exhibitor booth staff members must be registered to attend. You will receive an email to provide booth staff names and email addresses in January 2026.
An additional $100 will be added upon checkout if you select a third floor booth.
Exhibitor booth payments are due at or within 30 days of registration. Failure to submit payment within this timeframe may result in cancellation. If payment is not received by January 2, 2026, the booth reservation will be cancelled and the space will be made available to other exhibitors.
We encourage exhibitors to register as soon as possible, as space is limited. A refund, less a processing fee of $50, will be issued to those who cancel their booth in writing before January 2, 2026.
- Compliance with Legal Requirements
The Exhibitor shall comply with and ensure that its employees and agents comply with all legal requirements imposed by a government body. Special building rules regarding the operation of oil or gasoline engines must be strictly observed, as must all other special building rules and regulations. - Drawings and Giveaways
Any Exhibitor desiring to hold drawings for trips, merchandise, etc., must advise the Conference in writing 30 days prior to the opening. All giveaways must comply with local, state, and federal laws. Only individually wrapped candies are allowed per Dena’ina Center rules. - Liability and Indemnification
The Conference, sponsoring Associations, or Dena’ina Center shall not be liable for injury or damage to any person, business, or property related to the exhibition. All claims are waived. Exhibitors agree to indemnify and hold harmless the Indemnified Parties against claims, liabilities, and legal expenses caused by the exhibitor’s actions or omissions. - Prohibited Items and Conduct
Exhibitors shall not place in the exhibit area any goods or apparatus that are objectionable, dangerous, or that could cause injury, fire, or damage. - Sales Restrictions
Exhibitors shall not sell goods or services without prior written consent from the Conference. - Display Approval
The Conference reserves the right to prohibit display items that are not in harmony with the exhibition’s nature or decoration. - Event Cancellation
If the exhibition venue is destroyed or damaged and the event cannot proceed, the only remedy is a refund of payments made. The agreement will then be terminated. - Exhibit Arrangement
Exhibitors may arrange their exhibits within the assigned space for best display of goods. No part of the exhibit may extend beyond the space boundary. All materials must remain within the assigned booth per the agreement and booth construction guidelines. - Exhibit Care and Safety
Exhibitors are responsible for their own exhibits and must take necessary precautions to prevent damage or injury. - Insurance Requirements
Exhibitors must obtain insurance covering fire, theft, vandalism, and general liability (minimum $1M per occurrence), as well as workers’ compensation. - Exhibit Break Down and Clean-Up
Break down must follow Exhibitor information. Exhibitors must leave their space clean and free of rubbish. Cleanup fees will be charged for leftover materials. No exhibits may be removed during the show without written consent. - Assignment or Subletting Prohibited
Exhibitors may not assign or sublet booth space without prior written consent from the Conference. - Restrictions on Installations
Items may not be hung or installed on Dena’ina Convention Center walls. Exhibitors are responsible for any damage caused. Load-in and set-up must follow Exhibitor information. - Agreement Conditions
Agreements and booth space allocations are not binding until signed, returned, and paid for, and accepted by the Alaska Forum, Inc. - Exhibitor Registration and Badge Policy
All exhibitor representatives must register. Badge limits depend on the exhibitor package. Additional staff incur extra fees. Badges grant access to the exhibit area only. Shared passes allow limited access to sessions/lunches. Additional passes may be purchased. - Booth Contract Terms
Contracts are date-stamped. Reservations require completed contracts and payment. Preference is based on date stamp and past participation. The committee may refuse vendors not aligned with exhibit themes. Floor plan booth dimensions and locations are not guaranteed. - Shipping and Drayage
Services are available through Alaska Event Services. Neither the Dena’ina Convention Center nor Alaska Forum will accept advance shipments. All shipping and handling costs are the exhibitor’s responsibility. - Security and Exhibit Hall Access
No security is provided. The hall will be locked after hours. Dena’ina staff will groom the area nightly. The Convention Center is not responsible for exhibit materials. - Space Limitations and Committee Discretion
Booths are reserved on a first-come, first-served basis upon committee approval. The committee may refuse vendors it finds unsuitable for the Conference.
