Alaska Forum Career Fair Rules and Regulations Governing Use of Space by Vendors
  1. Compliance with Legal Requirements
Vendors must comply with all federal, state, and local laws and regulations, as well as all facility rules. This includes any health, fire, or safety codes established by the venue. Vendors using equipment such as generators, heating elements, or other special devices must follow all applicable building rules and obtain prior approval if required.
  2. Drawings, Giveaways, and Promotions
Vendors wishing to conduct raffles, drawings, or giveaways must notify the Fair organizers in writing at least 30 days before the event. All promotional activities must comply with local, state, and federal laws. Only individually wrapped candies are allowed for giveaways under venue policy.
  3. Liability and Indemnification
The Alaska Forum, its staff, sponsors, and the event venue are not liable for any injury, loss, or damage to persons, property, or products arising from participation in the Career and Craft Fair. Vendors agree to indemnify and hold harmless these parties from any claims, damages, or expenses resulting from the vendor’s actions, omissions, or participation.
  4. Prohibited Items and Conduct
Vendors may not display or sell items that are unsafe, illegal, or otherwise deemed inappropriate for a family-friendly event. Hazardous materials, open flames, and objectionable conduct are strictly prohibited.
  5. Sales and Transactions
Vendors may sell goods or services during the event in accordance with their vendor agreement. Vendors are responsible for collecting and remitting all applicable taxes and following local business licensing requirements.
  6. Display Approval and Appearance
The Fair reserves the right to deny or remove any display or product that does not align with the event’s mission, décor, or community standards. Displays must be professional, safe, and remain within the vendor’s assigned space.
  7. Event Cancellation
If the venue or event is canceled due to causes beyond the organizer’s control (including natural disasters, facility damage, or public safety orders), the vendor’s sole remedy shall be a refund of fees paid. The agreement will then be terminated.
  8. Booth Setup and Arrangement
Vendors must confine displays and materials to the assigned booth area. Booth setup must follow event guidelines and may not interfere with adjacent spaces or aisles. No part of a display may extend beyond booth boundaries.
  9. Booth Care and Safety
Vendors are responsible for maintaining their booth in a clean, safe, and orderly manner. Vendors must take precautions to prevent injury or property damage and assume responsibility for their own materials and equipment.
  10. Insurance Requirements
Vendors must carry general liability insurance of at least $1,000,000 per occurrence and workers’ compensation coverage as required by law. Proof of insurance may be requested prior to the event.
  11. Booth Breakdown and Clean-Up
Vendors must follow posted teardown schedules. Early breakdowns are not permitted without written approval. Booth spaces must be left clean and free of debris. Vendors may be charged a cleanup fee for leftover materials.
  12. Assignment or Subletting Prohibited
Vendors may not assign, share, or sublet booth space without prior written consent from event management.
  13. Installation Restrictions
No items may be nailed, taped, or otherwise affixed to venue walls, floors, or ceilings. Vendors are responsible for any damage caused to the facility. Load-in and setup must follow vendor instructions provided before the event.
  14. Agreement Conditions
Vendor agreements and booth assignments are not final until signed, paid in full, and accepted by Alaska Forum, Inc. Submission of an application does not guarantee participation.
  15. Booth Selection and Priority
Booth space is assigned based on availability, date of application, payment, and past participation. The organizing committee reserves the right to adjust floor plans or refuse vendors that do not fit the event’s purpose or audience.
  16. Shipping and Deliveries
Advance shipments are not accepted by the venue. Vendors are responsible for all shipping and handling arrangements and costs. Contact event management for recommended shipping providers or procedures.
  17. Security and Access
Limited security may be provided, but vendors are responsible for their own property at all times. The venue and event organizers are not liable for theft, loss, or damage. Booth areas will be secured after show hours.
